5 Ways to Clean Messy Spreadsheet Data — Only Two Actually Worked

The five problems hiding in the data
Before you can judge a fix, you have to see what's wrong. Our 10,000 rows contained:
- Hidden spaces — " north " vs "north" read as two different regions and split your pivots in two.
- Inconsistent case — north / North / NORTH become three separate groups.
- Mixed date formats — 2026-06-02, 06/02/2026, and June 2 in one column, some not even real dates.
- Duplicate rows — 120 exact copies quietly inflating every total.
- Misspellings — Suth, Wset — obvious to you, invisible to a formula.

The trap: AI's 98% was the most dangerous score
Pasting the data into an AI and saying "clean this" looked flawless — spaces, case, duplicates, and even the misspellings, all fixed in seconds. But on ambiguous dates like 06/02/2026, the AI simply decided whether that meant June 2 or February 6. Confidently. With no flag and no warning. Across 10,000 rows it guessed wrong on 724 of them — and rewrote your data silently.
What actually works: the verified approach
The method that scored 100% isn't a tool — it's a habit. Let AI do the 90% it's brilliant at (spaces, case, duplicates, typos), then add one step: have it flag every value it had to guess so a human confirms the handful of ambiguous ones. Twelve dates out of 10,000? Thirty seconds of review. Everything else stays automatic.
